Job Description:

DescriptionOPEN UNTIL FILLED PAY RATE Depending On Experience + QualificationsUnder general direction of the Support Services Deputy Chief to perform administrative assistant work in support of Fire Support Services and Fire Emergency Services; to prepare routine and special reports; maintain files, process purchase orders; and prepare billing statements. Work is performed in accordance with established Abilene Fire Department polices; the City of Abilene policies, and other applicable state agencies policies. The position will be staffed based upon the needs of the department and as dictated by the Fire Chief.SUPERVISION EXERCISEDThis position exercises no supervisory functions.Examples of DutiesMaintain files on matters in progress, and expedite their completion as required.Responsible for opening, sorting, and distributing the department's mail.Review and draft answers to correspondence not requiring attention of department leadership.Assemble, organize, and tabulate statistical data.Prepare and maintain routine and special reports and documents.Attend meetings; record, and prepare drafts of meeting minutes.Furnish general public and co-workers with information concerning application of a variety of documents and related departmental operations.Organize and prepare monthly billing statements.Oversee the receipt, resolution, or reference of refer citizen complaints.Assist with gathering budget information.Manage, receive, and account for public funds.Process various purchase orders and related contracts.OTHER JOB RELATED DUTIESPerform other job related duties and responsibilities as assigned.Typical QualificationsKnowledge of:Laws, ordinances, rules, and regulations pertinent to Fire Department activities.Administrative assistant practices and procedures.Principles and practices of office management.Departmental policies, functions, and procedures.Skill to:Communicate both orally and in writing.Type at a speed necessary for successful job performance.Operate office equipment including a personal computer using Windows Operating System.Ability to:Plan and organize daily activities.Communicate clearly and concisely, orally and in writing.Establish and maintain effective working relationships with others.Maintain records and create reports.Perform responsible office assistant work with accuracy and speed with minimal supervision.Maintain confidentiality, use independent judgment and personal initiative.Develop and maintain accurate recordkeeping systems.Establish and maintain cooperative working relationships with those contacted in the course of work, both internally and externally.Follow and embrace the City of Abilene Core Values - Respect, Integrity, Service Above Self, and Excellence in All We Do.Perform as team member in a manner that accomplishes the Division's mission and treats other team members with dignity, courtesy, and respect.Experience and Training Guidelines:Any combination equivalent to experience and training to provide the required knowledge, skills, and abilities may be qualifying.
